Why are we hiring for this role?

We’re looking for a highly organized, proactive Executive Assistant to support our SVP Global Sales and VP Customer Success. This role is focused on increasing the effectiveness of our global revenue leadership team by reducing operational overhead, improving prioritization, and ensuring strong follow-through across key initiatives.

You’ll work at the center of Sales and Customer Success leadership, partnering closely with senior leaders across the US, Australia, and other global teams. Because this role supports a global team with peak collaboration across these regions, preferred working hours are 10 am–7 pm or 11 am–8 pm (local time). This schedule enables high-impact collaboration and ensures we keep critical work moving in our fast-paced, high-growth environment.

What will you accomplish?

    Executive support & calendar management:

  • Manage complex calendars across global time zones, acting as a gatekeeper to protect focus time and optimize schedules.

  • Coordinate internal and external meetings, including leadership, customer, and cross-functional sessions.

  • Support inbox and communication workflows to reduce backlog and ensure timely responses.

  • Task management & prioritization:

  • Organize and maintain task tracking (primarily in Asana), ensuring priorities are clear and actionable.

  • Maintain a structured view of top priorities (e.g. weekly or daily “Top 5”) to keep leaders focused on high-impact work.

  • Track progress on key tasks and proactively follow up to ensure completion.

  • Meetings & execution support:

  • Join selected meetings to capture notes, decisions, and action items.

  • Drive follow-through by tracking actions and coordinating with stakeholders.

  • Prepare agendas and supporting materials where needed.

  • Operational coordination:

  • Monitor workflows that require leadership action (e.g. approvals, contracts) and ensure timely completion.

  • Support coordination across Sales, Customer Success, and other teams to keep work aligned and moving.

  • Travel & logistics:

  • Plan and manage travel for revenue leadership, including flights, accommodation, and detailed itineraries.

  • Ensure travel aligns with business priorities, meetings, and events.

  • Offsites & team events:

  • Support planning and execution of team off-sites, leadership meetings, and in-person events.

  • Manage logistics, including scheduling, travel, accommodation, venues, and agendas.

  • Coordinate with vendors and internal stakeholders to ensure smooth execution.

  • Track budgets and manage event-related expenses to ensure cost-effective delivery.

What do we need from you?

  • Experience as an Executive Assistant supporting senior leaders (VP level or above), ideally across multiple stakeholders.

  • Fluent English (written and verbal) - you’ll be working with global stakeholders daily.

  • Exceptional organization and attention to detail.

  • Strong prioritization skills and ability to manage competing demands.

  • Proactive mindset with the ability to anticipate needs and solve problems independently.

  • Clear and effective communication skills across Slack, Asana, and meetings.

  • Ability to operate in a fast-paced, high-growth environment with evolving priorities.

  • Strong time management and accountability mindset, with a focus on follow-through and outcomes.

What will give you an edge?

  • Experience in a tech, SaaS, or high-growth startup/scaleup environment.

  • Experience supporting revenue, sales, or customer-facing teams.

  • Experience supporting multiple executives simultaneously.

  • Experience with tools like Asana, Slack, and Google Workspace.

  • Experience coordinating international travel and team off-sites.
